BODHI PILATES TERMS & CONDITIONS

welcome to bodhi.
these terms & conditions govern the use of our services, membership options, classes, and facilities. by using our services or purchasing a membership, you agree to abide by these terms. please read them carefully.
1. general information
1.1 these terms & conditions apply to all services offered by bodhi pilates.
1.2 bodhi pilates reserves the right to modify these terms at any time. we will notify members of any significant changes via email or by updating our website.
1.3 these terms are compliant with the consumer rights act 2015 and the unfair terms in consumer contracts regulations 1999.
2. membership & commitment period
2.1 memberships are offered on a minimum 3-month commitment basis, unless specified otherwise in your contract.
2.2 after the initial 3-month period, memberships will continue on a rolling monthly basis unless cancelled in accordance with clause 3 below.
2.3 bodhi pilates reserves the right to adjust membership fees, providing 30 days’ written notice.
3. cancellation & termination of membership
3.1 to cancel or terminate your membership, you must provide 30 days’ written notice via email to bodhi.pilatesuk@gmail.com.
3.2 if your billing date falls within the 30-day notice period, you will be charged for the following month, during which you can continue to use your membership benefits.
3.3 early termination within the initial 3-month commitment period is not allowed unless there are exceptional circumstances (e.g., serious injury or pregnancy), in which case a doctor’s or gp’s note will be required.
3.4 it is at bodhi pilates’ sole discretion to approve early termination requests.
3.5 if notice is not provided in writing or if outstanding payments are due, the matter may be referred to a debt collection agency.
4. payment terms
4.1 membership fees are billed on a monthly basis.
4.2 in the event of a missed payment, your account will be blocked, and you will not be able to book or attend classes until the payment is rectified.
4.3 if you are aware of a payment issue, you must contact us immediately via email at bodhi.pilatesuk@gmail.com to resolve it.
4.4 bodhi pilates is not responsible for unused credits resulting from a blocked account due to missed payments. unused credits will not be carried forward into the next billing cycle.
4.5 if a billing error results in a discounted or incorrect fee being charged, bodhi pilates reserves the right to correct the error and charge the correct amount at a later date.
5. class bookings, late cancellations, no-shows & late arrivals
5.1 all class bookings must be made via the bodhi pilates app or website.
5.2 a 6-hour cancellation window applies to all class bookings. if you cancel less than 6 hours before the class start time, this will be considered a late cancellation.
5.3 the following fees apply for late cancellations and no-shows:
• late cancellation fee: £5
• no-show fee: £10
5.4 fees for late cancellations and no-shows will be charged automatically to the payment method on file.
5.5 excessive no-shows or late cancellations may result in restrictions on your ability to book future classes.
5.6 late arrivals:
• it is important to arrive on time for each class to ensure a safe and effective experience.
• if you arrive after the class has started, you will not be allowed to join the class. late arrivals disrupt the flow of the session and may compromise the safety of participants, as instructors must keep their attention on those already in the class.
• no refunds or credit returns will be issued for missed classes due to late arrival.
6. membership freezes & special circumstances
6.1 membership freezes may be granted in cases of injury or pregnancy, provided appropriate documentation (e.g., gp letter) is submitted.
6.2 requests to freeze memberships must be made in writing via email at least 14 days prior to the desired freeze start date.
6.3 the minimum freeze period is 1 month (30 days).
6.4 the maximum freeze period is 3 months. after the freeze period, you must pay for at least 1 additional month before you can cancel your membership if that is your intention.
7. facilities & services
7.1 bodhi pilates strives to maintain high-quality facilities and services. however, we reserve the right to modify or withdraw services or products as necessary.
7.2 temporary closures or service interruptions due to maintenance, events, or unforeseen circumstances will not entitle members to a refund.
8. limitation of liability
8.1 bodhi pilates is not liable for any injury, loss, or damage resulting from the use of our facilities, equipment, or services, except where such liability cannot be excluded by law.
8.2 members are responsible for ensuring they are fit to participate in classes. bodhi pilates recommends consulting a healthcare professional before starting any fitness program.
9. health & safety
9.1 members must adhere to all health and safety guidelines provided by bodhi pilates.
9.2 failure to comply with health and safety rules may result in the suspension or termination of your membership.
10. personal data & privacy
10.1 bodhi pilates collects and processes personal data in accordance with our privacy policy.
10.2 by agreeing to these terms & conditions, you consent to the collection and processing of your personal data for the purpose of providing services.
11. governing law
11.1 these terms & conditions shall be governed by and construed in accordance with the laws of the uk, and any disputes shall be subject to the exclusive jurisdiction of the courts of the uk.

13. discounts & promotions
13.1 Eligibility for Discounts
• Discounts and promotional offers may be made available at the discretion of bodhi pilates. These offers may include, but are not limited to, introductory promotions, referral discounts, corporate partnerships, and seasonal campaigns.
• Eligibility for specific discounts will be determined based on the terms outlined at the time of the offer.
• Discounted memberships or promotional pricing are non-transferable and cannot be exchanged for cash or other benefits.
13.2 Accidental Discounts or Errors
• If a discount or promotional rate is applied incorrectly due to an error (including system errors or human oversight), bodhi pilates reserves the right to correct the pricing and charge the difference.
• In such cases, members will be notified in writing via email, and any required adjustments will be processed within a reasonable time frame.
• Members who have already benefited from an incorrect discount will have the option to continue their membership at the correct rate or cancel in line with the cancellation terms set out in section 3.
13.3 Withdrawal of Discounts or Promotions
• Bodhi pilates reserves the right to modify or withdraw discounts and promotional offers at any time without prior notice.
• Any ongoing promotional offer or discount will remain valid until its specified end date or until otherwise stated.
• If a promotional offer is withdrawn, it will not affect members who have already signed up under that promotion, provided they continue to meet the eligibility criteria. If eligibility requirements are no longer met, the discount will be revoked, and the standard rate will apply.
• Discounts that are contingent on ongoing conditions (e.g., corporate partnerships or referrals) may be removed if those conditions change.
